Virtual Rep Visits With Zoom

A general link provides the fastest and easiest way to incorporate a Zoom link into your visits
A general link is like holding the meeting in the same room and for this reason anyone who has the link will be able to join if the meeting is active
  1. Login to your Zoom Account and Choose Meetings, Personal Meeting Link to Access Settings

  1. "Join Before Host" will allow you to set the meeting as live as long as someone has joined. This way you will not need to Proctor the meeting and may also pass this responsibility to someone else.

  1. Go to your Profile and find the meeting URL

  1. Copy the URL
  2. Login to your Scoir account and go to the Calendar Tab
  3. From here, click on a scheduled visit in the calendar to update with the link
    1. Paste the link to the Internal Description
    2. Paste the link into the Rep Instructions
  4. or Create a new visit and add the link
    1. Paste the link to the Internal Description
    2. Paste the link into the Rep Instructions
  1. When a student or Rep Clicks on the link description they will see the hyperlink. Clicking the hyperlink will allow them to join the virtual meeting.
Your Zoom account allows you to create unique meetings for which you have total control
Unique meetings will need to be scheduled with a specific date and time

Unique meetings also allow you to set special rules, i.e. the meeting can start without you, or

  1. Login to your Zoom Account, choose Meetings, and Schedule a New Meeting

  1. The first set of rules allows you to choose when the meeting will be scheduled

  1. The Next Set of rules allows you to choose
    1. If registration is required
    2. If guests will start with audio or video already enabled
    3. a password for the meeting
    4. which type of audio is allowed (Computer, Phone, or Both)
    5. And some special options like allowing guests to join before the host is available i.e. the meeting can run without the host, muting participants on entry, enable a waiting room, only allowing authenticated zoom users to join, and recording the meeting automatically

  1. Once the meeting is created you will be able to share the details as above by pasting the URL into the meeting details into the Internal Description and Rep Instructions
  2. When a student or Rep Clicks on the link description they will see the hyperlink. Clicking the hyperlink will allow them to join the virtual meeting.
