District Data Gathering Instructions

The following steps will guide you through the process of gathering the data needed for your school accounts.

The account setup process cannot begin until all data files have been submitted. If there is data that should not be imported, please let us know which you do not want included. *Please note: Scoir cannot add Naviance data later, it must be imported during the initial account creation.

When data is imported to Scoir the HS Student ID field and the Email field get locked on import.  These cannot be updated through any import or auto-roster.   These fields must match your ClassLink/Clever data.  The only way to update these fields after import is to manually update them one by one.  What we do support is an email domain update should this happen at your school, and this can be done via import by reaching out to support.

  1. Share Clever data with Scoir (grades 9 - 12 only) per the instructions below
  2. Provide list of all high schools in your district to be connected, including:
    1. CEEB, High School Name, Address , GPA scale (weighted and unweighted 0-4), Title 1 eligibility, Primary Counselor name and email address
  3. Export Naviance data and share with Scoir (instructions below).
    1. If your Naviance contract is ending during the school year, you will need to speak with your Regional Account Manager for more details. Scoir does not support import of current senior application data.
  4. Export parent data for students in grades 9-12 from your SIS and share with Scoir (only if schools want parent data included)
  5. Send (arrange for delivery of) data to support@scoir.com, using the most secure method, as determined by your team. Please ensure support@scoir.com has download access to this data. A shared google drive can be used to share data. We currently do not offer an SFTP option. All data should be in excel or .csv format. We do not support .numbers or .pdf files. Please contact support if you are sharing a google drive.
  6. If you would like Scoir to assign Counselors to students on setup, we will need a full list of your counselors and emails (including the high school they should be associated with); along with a roster of students and their assigned counselors.

Clever Sync

If you are a public school, please send the name of your district (Clever Sync will come through at the district level – not the high school). This helps Scoir ensure we connect the correct district/high school.

Please inform your IT administrator to request a full sync with Scoir through the Clever App Gallery. It won’t take more than a minute or two of their time! Clever will notify us about the request, we’ll approve it, and then your team will need to ensure the following required fields are shared with Scoir. Student information will automatically be updated on a daily basis. 

We support auto-rosters of users in the Students, Teachers and Staff Clever tab. Students and Teachers are required to be shared, Staff is optional. Please let our team know if you would like Staff included in your Clever auto-rostering.

We support rostering of (1) Clever ID to (1) Scoir High School. Alternative programs, if using a separate Clever ID cannot be auto-rostered to the same Scoir school. It is a (1) to (1).

Scoir and Clever sync nightly

Clever requirements are displayed for the school within the Clever app.  Please use the requested fields when configuring your Clever setup

Please don't hesitate to reach out support@scoir.com with any questions! 

It's important to export all data from Naviance so that it will be available to you in Scoir. We use this data to populate your scattergrams and test scores. (Time to complete: 5 minutes). Please export files as far back as you wish, through grade 9, as we need all of the test data for lower grades to import to Scoir. We prefer single school files.

This Naviance export guide will walk you through each step. (Note: This will not remove any of your data from Naviance; it merely copies it).

* Please be sure to export all data files for all class years to ensure historical information is available, and your students have access to all Scoir features, like scattergrams. 
Once all has been exported, please follow the steps here to decouple your Naviance edocs from the CommonApp integration.

Parent Data (Student information System)

Parent accounts within Scoir allow parents to see their child's college list and access cost of attendance calculators.

Please export parent information directly from your SIS and include the data fields listed below. If you are including more than one parent or guardian associated with the same student, each requires a separate email and must be listed in separate rows.  All parents must have a student ID associated with the row in which they are listed.  Do not use a school-issued email for parents (i.e. teachers who may also be a parent). Parents need to have a personal email address. *Please note that we do not currently support Naviance parent data imports.

What Happens Next?

The Scoir Support Team will review and process your data as soon as all requested files are submitted. If we identify any discrepancies, we will contact you to resolve them. Your account will typically be ready 5-7 business days after we receive all data.  Once the account setup is complete, you will receive an email outlining next steps.  Please reach out to support@scoir.com with any questions.
