Counselors: Create a Secondary School Report (SSR) for Individual Students

Counselors create School Reports directly from each student’s profile in Scoir. This guide walks through the process for all schools and explains an extra step for schools using the Scoir + Common App integration.

Before creating School Reports, make sure your School Reports template is set up for the current school year. This template fills in school information automatically. If you need template access, contact your Scoir Account Administrator.
If your high school does not use Scoir, please use the directions here which includes a Secondary School Report template as well.

Before You Create a School Report

Before creating a student’s Secondary School Report (SSR), confirm that your School Reports template is set up and that key documents have been uploaded for each student. While you can upload documents during the SSR process, we recommend uploading them beforehand to make the process smoother—especially for schools using the Common App integration.

Create a School Report

To create a School Report, open the student's profile in Scoir and go to Colleges & Applications on the left menu and select Manage Documents.

Under Other Documents, find Secondary School Report and click Create.

Once clicked, the SSR form will appear where you can add details about the student like Class Rank, Ratings, Senior Courses, etc. Keep in mind that the fields you see depend on your school's template settings.

Senior Courses will appear automatically if they’ve already been uploaded—whether in bulk or individually. Just be sure to check the box to include them in the School Report.

To upload a new Senior Course file, click Upload Senior Courses and select your PDF file (maximum size: 2MB). Once uploaded, they'll appear and be attached to your SSR.

You can only include one Senior Courses file. If multiple files are uploaded, uncheck any you don't want to send.

For schools using the Scoir + Common App Integration only: Common App requires the submission of at least one transcript, and up to three additional transcripts (including Transfer Transcripts), with each School Report submission.

You will have the opportunity to determine what you'd like to have sent along with the School Report. Initial transcripts already uploaded will be automatically associated and up to three additional transcripts can optionally be selected for inclusion.

If you determine that the automatically associated Initial Transcript isn't appropriate for inclusion, you will need to replace this document before proceeding.

 If you haven't yet uploaded an Initial Transcript or Additional Transcripts for the student, you'll have the opportunity to do so here.

To upload new transcripts directly in the SSR, click Upload Initial, Upload Additional, or Upload Transfer and select your PDF file (maximum size: 2MB). Once uploaded, they'll appear and be attached to the School Report.

Note: You can only include up to 3 additional/transfer transcripts. If you have multiple files, uncheck any you don't want to include.

After uploading transcripts, check the box to confirm a transcript is or will be included. Failure to attach one may result in your Common App Online account being closed.

The Counselor Information is automatically completed with details for the counselor who is creating the SSR. If you are not the student’s assigned counselor, your name and phone number will appear as the signatory. Complete any remaining fields as required.

As you fill out the School Report, click on Preview to review your SSR and ensure all details are accurate. If you find any outdated information, simply update your SSR template. Your in-progress SSR will reflect these changes and be saved as a draft, allowing you to continue from where you left off.

Once you've filled in all required fields, click Complete to finalize the report.

The completed report will appear in the student's Manage Documents page on their profile and be included in their application packets.

You can click on the finalized report to preview it or delete it if needed.

For Common App–integrated schools, a Common App School Report is used for students’ Common App applications, while all other applications include the Scoir Secondary School Report. 

You can see each version by going to the Send Documents page on a student’s profile. When you click on the SSR in the packet, it will display the Common App School Report for Common App applications and the Scoir SSR for all others.

Both reports contain the same information, but the Common App version includes the Common App logo and complies with their requirements.

Frequently Asked Questions

Why isn't my data displayed correctly when I click "View Secondary School Report"?
The data shown is only a 'sample' and does not reflect your school's actual information. To view the correct data for your high school, you must navigate to a student's Manage Documents tab and create an SSR.
Will my phone number be included in the SSR?
Phone numbers are specific to each counselor and will not appear on the SSR until the counselor has electronically signed it. Once signed, the phone numbers will be displayed on the SSR. To ensure your phone number is included, we recommend adding or updating it in your Personal Profile before electronically signing the SSR.
Can I add a fax number?
If you want fax numbers included on SSRs, they must be manually entered. Since school data is mostly available online, colleges can access fax numbers if necessary. Otherwise, email and phone will be provided as contact information.
Are updates to the SSR template applied to in-progress reports?
Yes! If you notice outdated information when previewing a report, simply update your SSR template. Your in-progress SSR will reflect these changes, allowing you to continue from where you left off.
