Step 3: Mapping Scoir Student Data and Documents in Slate

In Part 3, we will be finalizing the mapping of incoming Scoir documents to the document slots in your Slate Instance, and mapping values from our ScoirMaterials Source Format. You will need to finalize mappings in order to complete the import setup process.

You will need at least one document batch from Scoir in your Slate Instance before completing this step. If you have not already received a Scoir document batch in your Slate Integration, please contact Scoir Support at support@scoir.com to request a test document batch.


Mapping Scoir Document Types

When you receive your first batch file from Scoir, you will need to finalize mappings in order to complete the import setup process. These steps are completed by completing a Remap of the ScoirMaterials Format Definition in Slate.

  1. To begin, go to the Source Formats page, in the Import and Data Processing section of your Slate instance.
  2. On the Source Formats page, click on the row containing the ScoirMaterials Source Format to access it.
  3. Click the Remap menu option.
  4. You will be taken to the Field Mappings page, however, we will be looking at the student data fields on this page later. For now, select Prompt Value Mappings from the menu along the right side.
  5. You should now see that you have 25 unmapped document types from Scoir ready to be mapped to the local document slots in your Slate Instance. Click on the DocumentType row to begin making your document mapping selections.
  6. A pop-up panel will appear with a listing of all Scoir Document Types. Click on the drop-down menu next to the document type you wish to map, and then select the local document slot you want all documents of this type to be delivered to in your Slate Instance.
    Review a list of all Scoir Supported Document Types and their descriptions here.
    In our example below, we have mapped the TranscriptFinal document type to the "Transcript (Official) (School-Scoped)" document slot in our local Slate Instance.
    This is an example for illustrative purposes only. Your document slots and mapping selections may be different and specific to your own institution.
    We recommend you map every Scoir Document Type to a document slot, even if you do not typically receive the document type. Mapping every document type can help reduce documents going to your Batch Acquire folder. You may want to create or use a "Miscellaneous" document slot in your Slate Instance for any extra document types.
  7. Click Save to finalize your document mapping selections.


Mapping Scoir Student Values

Limited Student Field Mapping should be necessary, but our defaults should be reviewed. Here is the full list of fields contained in the Index File.

If the Scoir batch file contains documents for a student not in your system, Slate will create a new student record for that prospective applicant
  1. To begin, return to the ScoirMaterials Field Mappings screen.
  2. Student data Source Fields from Scoir will appear along the left side and their destinations will follow to the right in the Destinations column.
  3. Click on a field to remap it to a specific destination in your Slate Instance.
    A Set Destination pop up will appear where you will select the destination for this Source Field. In our example below, we have mapped the City to the Address destination category in our local Slate Instance.
    This is an example for illustrative purposes only. Your destinations and mapping selections may be different and specific to your own institution.
    Next, we will select the specific type of Address destination field to map. For this secondary field, we have selected Address - City.
  4. Click Save to finalize your field mapping selection, then, repeat the process as needed for any other Scoir Student Fields.
  5. IMPORTANT: If you have configured any materials as school-scoped, you will need to map the CEEB Source Field to Slate’s “School: CEEB Code” Destination.
