For Counselors: Bulk add files & links to students' Drives

Easily upload files or add links to your students' Drives directly from the Student Roster. This guide will walk you through bulk uploading files and links to multiple student accounts at once.

Bulk upload a file

To quickly share a document or image with multiple students’ Drives:

  1. Go to Students > Roster.
  2. By default, all students will appear in your roster, but you can use the filters to select a specific group of students.
  3. Click the Select All checkbox next to Name to select all students in your current view.
  4. Click the Add File to Students’ Drives icon to begin uploading your document.
  1. Drag and drop the file from your desktop or click Choose Files to locate the file on your computer. Once selected, click Upload.
  1. The Add File to Students’ Drives window will appear, where you can:
    1. Confirm the file: Make sure the correct file is selected.
    2. Hide from Parents/guardians: Check the box to prevent parents/guardians from seeing this file in their student's Drive.
    3. Add a message: You can include a custom message to be sent to students along with the notification once the file is added. (Notifications are only sent to students getting added for the first time).
  2. Click Save to complete the upload. 

Your students will be notified that a file has been added to their Drive.

To share links (e.g., to web pages, Google Docs, or videos) to multiple students’ Drives:

  1. Go to Students > Roster.
  2. If needed, use filters to narrow your selection to a specific group of students.
  3. Click the Select All checkbox next to Name to select all students in your roster.
  4. Click the Add Link to Students’ Drives icon to begin adding the link.
  1. The Share Link to Drive window will appear, where you can:
    1. Paste the link: Copy and paste a URL (make sure to copy it from your browser’s address bar, including the "http://" or "https://").
    2. Title the link: Provide a descriptive title for the link that will appear in students' My Drives.
    3. Hide from Parents/guardians: Check the box to keep this link hidden from parents/guardians.
    4. Add a message: You can include a custom message to be sent to students along with the notification once the file is added. (Notifications are only sent to students getting added for the first time).
  2. Click Submit to add the link to the selected students' Drives.

Once added, students will receive a notification about the link in their Drive.

Manage and track bulk uploads in School Drive 

When you bulk upload a file or link through the Roster, it’s stored in the “Added via Roster” folder in your School Drive. This central folder makes it easy to track and manage all bulk-uploaded resources.

To view & manage bulk-uploaded content in School Drive:

  1. Click School Drive in the left navigation pane.
  2. Select the Added via Roster folder to view your uploaded content.
  1. Click the three-dot icon (•••) to the right of a file to select one of the following options. Keep in mind some of these options work differently for resources uploaded and shared directly from the School Drive:
    1. Preview: Take a glance at your file.
    2. Copy Link: Copy the link to your clipboard.
    3. Download: Download a copy of the file.
    4. Play: Open a video player to watch the video.
    5. Edit: Update a link or it's title.
    6. Rename: Change the name of a file or folder.
    7. Replace: Update the file with a new version for the same group.
    8. Play: Open a video player and play your video.
    9. Share: See the students the file was shared with and add or remove students.
    10. Hide from parents/guardians: Restrict parents' access to the resource.
    11. Delete: Remove the file from all students’ Drives it was shared with.
