For Colleges: Troubleshooting Slate Integration with Scoir

Test Connection Failure

During the Slate Integration process, you may see this "Failed to Connect" message when testing your Slate connection to Scoir.

There are a few reasons why your test connection between Slate and Scoir may initially fail.


  1. Changes to Slate may need time to propagate
    If you recently added both the Scoir Service Account and ScoirMaterials source format to your Slate Instance, you may need to wait for these to changes to propagate in your Slate Instance before making the connection. Scoir and Technolutions℠ recommend waiting at least one hour after adding the service account and source format before testing the connection in Scoir.
  2. Check the formatting of your Slate username in Scoir
    An incorrectly formatted Slate username or a typo can also cause the test connection to fail. Check to make sure that the Slate username you have entered in Scoir is the same as what appears in the URL address bar when logged into your Slate Instance.

    Your username should not include "http://" or "https://." If there is a forward slash followed by any additional items in the URL address bar, you should not include these either.

    In the example below, our Slate username is "apply.mycollege.edu" Including extra elements such as "http://" or "/manage" would cause the test connection to fail.
  3. Make sure that the ScoirMaterials Source Format is "Active"
    By default, the ScoirMaterials source format is set to Active when you add it to your Source Format library. However, if multiple people have access to your Slate Instance, they may have changed the status of your source format.
    1. Go to the Source Formats page, found under the Import and Data Processing section of your Slate Database screen.
    2. Click on the ScoirMaterials row to access the ScoirMaterials source format. It is normal for "awaiting activation" to appear as the status on this page if your Scoir connection has not yet been made.
    3. When the ScoirMaterials source format screen appears, click Edit in the top right corner.
    4. On the Edit panel, make sure the Status at the top is set to Active.


Duplicate Records

  1. Ensure that your ScoirMaterials Source Format has Dedupe settings in place
    The Dedupe Records settings in the ScoirMaterials Source Format can help match incoming student data to existing student records in Slate, so that new or updated information and documents will be added to the existing record rather than creating a new, duplicate record.

    You will want to make sure the Dedupe Records setting on the ScoirMaterials Source Format is set to Dedupe records within source on first + last + email + birthdate.
    1. To begin, go to the Source Formats page, found under the Import and Data Processing section of your Slate Database screen.
    2. Click on the ScoirMaterials row to access the ScoirMaterials source format.
    3. When the ScoirMaterials source format screen appears, click Edit in the top right corner.
    4. Make sure Dedupe Records is set to Dedupe records within source on first + last + email + birthdate.


Student Email Address Updated Affecting Portal Access

There may be a rare instance when an updated student email address from a Scoir student can affect the student's application portal access, if access is provided using the email.

If a student's email address has updated as the result of a Scoir document upload, this may be due to the Safe/Unsafe settings on the source format. Safe/Unsafe settings manage whether existing student data on a student record is updated when new documents for the student are delivered.

About Safe/Unsafe Settings:

Safe - Student person-scoped data for records with active applications will not be updated when new documents are imported. The "Safe" setting ensures existing student data will not be overwritten.

Unsafe - Student data fields will be updated with new information when documents are imported. If a student data field, like an email address, has changed since the last document import for the student, the data field will update to reflect the change.

    1. Go to the Source Formats page, found under the Import and Data Processing section of your Slate Database screen.
    2. Click on the ScoirMaterials row to access the ScoirMaterials source format. It is normal for "awaiting activation" to appear as the status on this page if your Scoir connection has not yet been made.
    3. When the ScoirMaterials source format screen appears, click Edit in the top right corner.
    4. On the Edit panel, make sure the Unsafe setting is set to Safe: Sources will not update person-scoped data for records with active applications.
