For Counselors: Using School Drive

School Drive helps counselors easily organize, store, and share resources with students and staff. This guide will walk you through adding files, creating folders, and sharing content—all in a few simple steps. We'd love to hear your feedback! Only users assigned the Student Counselor role can add or edit content in School Drive. All other staff members, except Teachers, have viewing access. If you need your role updated, please contact your account administrator.

Add an individual item or folder

  1. From the left navigation pane, select School Drive.
  1. In the top right, click Add and choose whether you’d like to add a file, link, or folder.

Once added, the item will be listed in the table, where you can see who created it and the date it was last modified. Click on the file to preview or download it.

Add files to a folder

In School Drive, you can add items to a folder you or someone on your team has already created.

  1. From the left navigation pane, select School Drive.
  2. Click the folder you’d like to add items to. In the example below, we'll add items to the "Juniors" folder
  1. In the top right, click Add and select whether you’d like to add a file, link, or create another folder within this folder. If adding a link, make sure to copy it from your browser’s address bar, including the "http://" or "https://".
  2. Once added, the item will appear in the table.

Share content in your School Drive

Once you’ve added content to your School Drive, you can share it with students.

  1.  From the left navigation pane, select School Drive
  2. To the right of the item or folder you’d like to share, click the three-dot icon (•••) and choose Share from the menu
  3. Select from these sharing options:
    1. Not shared with students: This is the default option. Choose this if you do not want this content visible to students.
    2. All current students: Share the content with all students currently enrolled in your school
    3. Custom: Use the drop-downs to create a custom audience by specifying a class year, counselor assignment, label, or individual students. The audience will meet all specified criteria.
  1. Click Save

When sharing a folder, its sharing preferences automatically apply to all content within the folder. These settings are fixed at the root folder level, but you can still add individual students to specific items within the folder, even if they don’t meet the selected criteria.

What happens after sharing?

  • Shared items will display a sharing icon , and students will see the content in their Drive.
  • You can verify sharing by checking the Drive section in a student’s profile.
  • Sharing preferences can be updated anytime by revisiting the Share settings for an item or folder.
  • Students are notified when you share content with them. If they’re logged into Scoir, they will see a notification in their account. If they’re not logged in at the time of sharing, they will receive both an email and a notification in their Scoir account.
  • When you share content with a class year, access updates automatically during rollover. Students moving to the next year will lose access, while incoming and newly enrolled students will automatically gain access to the shared resources. The same applies to students with a specific label—they’ll automatically receive access when the label is assigned.

Additional actions for files and folders:

Click the three-dot icon (•••) to the right of any item or folder to take the following actions. Keep in mind that some of these actions are only available for certain types of content:

  • Preview: Take a glance at your file.
  • Copy Link: Copy the link to your clipboard.
  • Download: Download a copy of the file.
  • Edit: Update a link or it's title.
  • Rename: Change the name of a file or folder.
  • Replace: Update the file with a new version for the same group.
  • Play: Open a video player and play your video.
  • Hide from parents/guardians: Restrict parents' access to the resource.
  • Delete: Remove files or folders from School Drive.

Supported file types

Scoir supports the following file types, ensuring compatibility for documents, media, and external resources:

Images: .png, .gif, .jpeg, .jpg, .tiff

Documents.pdf, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .odp, .ods, .odt, .txt, .rtf, .csv, .key, .pages, .numbers
