Importing Historical Data into Scoir (Outside of Naviance)

Scoir imports historical data from your school's previous systems (other than Naviance). This guide explains what data can be moved into Scoir, what information you'll need to provide, and some key things to know about the process.

What data can be imported?

The table below gives an overview of what historical data can and cannot be brought into Scoir from other platforms during the initial setup for both current students and alumni.

What data is not supported?

  • Current year applications: We cannot import application data for the current academic year. You'll need to add this data directly into Scoir.
  • Test scores: We cannot import test scores. Your team will be responsible for importing test scores after your Scoir account is set up. We support raw College Board or ACT files only, with subject scores being required. 
    • Supported test types: ACT, SAT, AP, PSAT/NMSQT, PSAT 8/9, PSAT 10, and SAT Subject (for alumni). PreACT scores must be manually entered. Both GPA and test values are required for scattergrams to display data points.

Important things to know before you begin

  • One-time import: Historical data migration is a one-time process to transfer data from your old system to Scoir. After the initial setup, your school will be responsible for maintaining data within Scoir.  Please ensure your student file has all the necessary data for import.
  • Setup time: Importing historical data requires additional setup time. Please allow an extra 14 days after providing the correct data for the import to be completed.
  • Supported file types: We currently do not offer an SFTP option. All exported data must be in Excel (.xlsx or .xls) or CSV (.csv) format. We do not support .numbers or .pdf files.

Providing your data to Scoir

If your school previously used Naviance and you have Naviance export data, we prefer to receive that first. Please follow these export instructions and send the Naviance files to support@scoir.com  in addition to the files below.

For Scoir to import historical data, your team will need to provide the following files. Please ensure all files are in either Excel (.xlsx or .xls) or CSV (.csv) format:

1. A full alumni student roster (required). This file should list each alumnus only once and include the following required and/or optional information:

Required Student Information:

  • First Name
  • Last Name
  • High School Student ID
  • Date of Birth (mm/dd/yy or mm/dd/yyyy)
  • Class Year

Optional Student Information:

If your school wants anything below to be imported for alumni, please include in your file:

  • Address 1
  • Address 2
  • City
  • State
  • Zip
  • Weighted GPA
  • Unweighted GPA
  • Race
  • Hispanic_ethnicity

When gathering alumni data, we'd like you to use the same format you see in the SIS data instructions for current students – you can find that in the student section here: Grades 9-12: Exporting data from your Student Information System (SIS)

We encourage you to include all the information you want in Scoir, but keep in mind that alumni email addresses cannot be imported.

 This alumni student file is a one-time import. So, to avoid any issues down the road, please double-check that it's complete with all the optional student details your team wants. We won't be able to add more alumni data later on.

2. A full application file. This file should include the following columns: 

  • College Name
  • State
  • Application Type
  • High School Student ID
  • Outcome (Result Code)
  • Enrollment Decision (Attending)

Please also include details about Waitlisted and Deferred applications in the file. The High School Student IDs in this file must also match the IDs in the Alumni Student Roster (step 1 above).

What to expect during alumni application import 

  1. Applications without an application type will be added as Regular Decision (RD).
  2. If a college has multiple campuses and a specific campus is not provided, we will default to the main campus. 
  3. The alumni application import is a manual process, so minor adjustments may be needed by your team.
