Understanding Application Rounds in Scoir

Only users with the Application Manager role can create Application Rounds. If you're unsure of your access, reach out to your Scoir Account Administrator or contact support@scoir.com.

In Scoir, Application Rounds define how students can apply to your institution. Students use this information to prepare their applications and request official materials.

Each Application Round has two parts:

  • Application Requirements: the types of documents you require or prefer from applicants
  • Application Deadlines: the date by which students must submit their application and the date by which all supporting documents must be received

By combining a set of requirements with a deadline, you create an Application Round, representing one of the ways students can apply to your institution.

Application Rounds should be reviewed and updated annually to keep your information accurate and aligned with your current admissions cycle.

How Application Requirements & Deadlines Work Together

When setting up Application Rounds, you don’t need to recreate your document list every time. Application Requirements can be reused across multiple deadlines, saving you time and ensuring consistency.

You can also create different sets of requirements for different types of applicants, so each group gets exactly what they need.

Example 1: Same Requirements, Different Deadlines

Let’s say you’ve created a set of requirements for your general applicants, labeled “First-Year Applicants.” You can pair this same set with multiple deadlines:

  • Regular Decision – March 15
  • Honors Program – January 1

Both Application Rounds ask for the same documents, but students see the correct deadline based on how they’re applying.

Example 2: Different Requirements for a Specific Program

Suppose your Engineering School has unique requirements, like needing test scores, while the rest of your applicants can apply test-optional. You can create a separate set of requirements labeled “Engineering Students” with the appropriate documents.

Pair that with the same March 15th deadline from the previous example, and you’ve got a distinct Engineering Application Round that clearly communicates what’s required for that program.

Why Keep Application Rounds Updated? Counselors and students rely on Scoir as a trusted source. Keeping your rounds up to date ensures everyone has the correct information when it's time to apply and send documents.

Begin Setting Up Application Rounds

Ready to set up your Application Rounds? You’ll do this in Application > Set Rounds.

  1. Start by creating your Application Requirements. These define which documents you want to receive from applicants—things like transcripts, letters of recommendation, or essays.
  2. Next, add your Application Deadlines. These deadlines determine when those documents need to be submitted for each specific round.

You’ll need at least one set of requirements and one deadline to build a round. Once your rounds are in place, you can reuse the same requirements for multiple deadlines, or make copies to customize for specific programs.

If anything changes, it’s easy to edit, copy, or delete existing requirements as needed.
